This Privacy Policy explains how DAUBIX AI LLC, referred to in this policy as “DAUBIX AI,” “we,” “us,” or “our,” collects, uses, discloses, retains, and protects personal information when you visit daubix.com, submit an inquiry, schedule a meeting, subscribe to communications, enter into a business relationship with us, or otherwise interact with our services.
This policy is written to describe our current practices in direct terms. It does not convert every piece of business information into personal information, and it does not create rights that do not otherwise exist under applicable law. Where privacy law gives you additional rights, we will apply those rights to the extent that the law governs our handling of your information.
Client projects may involve data that a client controls and DAUBIX AI processes on the client’s behalf. In those circumstances, the applicable service agreement, statement of work, data-processing terms, and the client’s own privacy obligations may govern in addition to this policy.
Who This Policy Applies To
This policy applies to personal information handled by DAUBIX AI in connection with our public website, contact and booking processes, marketing communications, commercial discussions, proposals, contracts, client administration, and delivery of AI automation, integration, agent, consulting, and operational-system services.
It does not govern the independent privacy practices of a client, software platform, payment provider, social network, scheduling service, or other third party. When you leave our website or provide information directly to another organization, that organization’s terms and privacy practices apply.
Information You Provide Directly
We collect information that you choose to provide when you contact us or ask us to evaluate a potential engagement. This may include your name, email address, telephone number, company name, company website, professional role, company size, anticipated project budget, the areas of your operation you want to improve, and the content of your message.
The information you submit may also reveal business priorities, workflow details, operational constraints, technology platforms, project requirements, or other commercial context. We use this information to understand your request, evaluate whether DAUBIX AI may be a suitable implementation partner, prepare for a conversation, respond to you, and maintain an accurate record of the relationship.
When you schedule a meeting, we may receive the booking details you provide through the scheduling platform. Those details may include your name, contact information, time zone, selected meeting type, requested time, answers to scheduling questions, meeting status, and related communications.
When you subscribe to our newsletter or other updates, we collect the email address and any related preferences you provide. When you communicate with us by email, telephone, video call, social platform, or another channel, we may retain the content of the communication and any information reasonably necessary to understand and respond to it.
If you become a client, supplier, contractor, or business partner, we may collect information needed to administer that relationship. This may include contact information, billing details, authorized-user information, contract records, project communications, platform-access details, and records concerning approvals, deliverables, support, and payment status.
Payment information is generally processed by the payment provider identified in the applicable invoice, checkout page, platform, or service agreement. DAUBIX AI does not intend to store complete payment-card numbers. The payment provider may provide us with confirmation of the transaction, the amount, currency, payment status, and other information needed for accounting and administration.
Information You Should Not Submit Through Public Forms
The public contact form is designed for ordinary business inquiries. You should not submit Social Security numbers, social insurance numbers, government identification numbers, complete financial-account details, payment-card numbers, medical or health information, passwords, private keys, access tokens, or other highly sensitive information through a public website form.
You should also avoid sending confidential client data, trade secrets, regulated records, or production credentials before DAUBIX AI has confirmed an appropriate method of transfer and the parties have agreed on the relevant scope and safeguards.
If you submit sensitive information that was not requested, we may use it only as reasonably necessary to respond, protect the parties, comply with law, or arrange a more appropriate channel. We may delete or restrict the information when it is not required.
Information Collected Automatically
When you visit the website, our hosting, security, form, scheduling, content-delivery, and technical-service providers may automatically receive standard technical information. This may include your Internet Protocol address, approximate location derived from that address, browser type, device type, operating system, referring page, pages requested, timestamps, error information, and other data used to deliver and secure the website.

At the time of this update, DAUBIX AI does not describe the website as an advertising-surveillance platform. Information received from a third party remains subject to the source’s own terms and privacy practices. We do not control the accuracy of information provided by another organization.
Client Data Processed During Services
DAUBIX AI designs and implements systems around client operations. A client engagement may require DAUBIX AI to access or process information contained in a customer relationship management system, project platform, spreadsheet, support channel, form, voice-agent environment, automation platform, document repository, or another approved system.
The client generally determines why that information is processed and is responsible for having the authority to provide it, connect the relevant systems, and instruct DAUBIX AI. DAUBIX AI processes the information to perform the agreed services, test and validate the system, resolve errors, provide support, document the implementation, and meet legal or contractual obligations.
We do not acquire ownership of client data merely because we process it. Ownership, permitted use, retention, return, deletion, confidentiality, and security responsibilities may be addressed more specifically in the applicable proposal, statement of work, service agreement, confidentiality agreement, or data-processing terms.
If you are an individual whose information appears in a system controlled by one of our clients, the client may be the appropriate organization to receive your privacy request. We will reasonably assist the client where required by law or contract.
How We Use Personal Information
We use personal information to operate DAUBIX AI and to carry out the purpose for which the information was provided.
This includes responding to inquiries, evaluating project fit, scheduling and conducting meetings, preparing proposals, administering contracts, delivering services, maintaining project records, processing payments, providing support, monitoring implementation, and communicating about an existing relationship.
We may use information to improve our website, forms, services, documentation, and internal processes. We may also use it to protect our systems, detect misuse, prevent fraud, maintain records, establish or defend legal claims, comply with lawful requests, and meet tax, accounting, regulatory, and contractual obligations.

Because DAUBIX AI provides AI implementation services, we may use AI-assisted tools in our own operations. These tools may help organize inquiries, summarize meetings, classify requests, prepare internal notes, draft routine communications, analyze workflow information, or support delivery of an approved client project.
AI-assisted output can be incomplete, inaccurate, or contextually wrong. We use human review and operational controls according to the purpose and consequence of the task. The public website is not intended to make a decision about you solely through automated processing that produces legal or similarly significant effects.
DAUBIX AI does not use personal information submitted through a public inquiry form for the purpose of training a public or generalized DAUBIX AI model.
When a client engagement requires information to be processed through a third-party AI provider, the selected platform, account structure, data settings, permissions, and permitted use should be determined by the service agreement and the client’s authorization. A client should not provide regulated or highly sensitive data for AI processing unless the parties have expressly agreed on the use case and safeguards.
When We Disclose Information
We disclose personal information only when reasonably necessary for the purposes described in this policy, when you direct or authorize us to do so, or when law permits or requires it.
We may provide information to service providers that support website hosting, form delivery, scheduling, cloud storage, email, customer-relationship management, project administration, payment processing, accounting, security, communications, automation, and AI-assisted operations. These providers process information under their own agreements and privacy terms and are expected to use it for the services they provide.
Current or recently used service categories include Google Workspace services such as Google Sheets and Apps Script for business records and form workflows, Formspree for form delivery, Calendly for scheduling, and content-delivery providers used to serve website resources. The exact provider set may change as the website and business systems evolve.

Client data is retained according to the applicable engagement, the client’s instructions, system limitations, backup cycles, legal obligations, and any agreed return or deletion process.
When information is no longer required, we may delete it, anonymize it, aggregate it, or place it beyond ordinary use, subject to technical and legal limitations.
Data Security
DAUBIX AI uses administrative, technical, and organizational measures intended to protect personal information against unauthorized access, misuse, alteration, loss, or disclosure.
The measures applied depend on the sensitivity of the information, the systems involved, the purpose of the processing, and the practical risks. They may include controlled access, authentication, secure transmission, business-owned accounts, limited permissions, logging, backups, vendor review, and documented handling procedures.
No method of transmission, storage, or system operation is completely secure. DAUBIX AI cannot guarantee that unauthorized access, platform failure, human error, malicious activity, or another security event will never occur.
If we become aware of a security incident involving personal information, we will investigate and take steps appropriate to the circumstances, including notification where required by applicable law or contract.
International Processing
DAUBIX AI LLC operates through online systems and may work with clients and providers in more than one country. Personal information may therefore be processed or stored in the United States, Canada, or another jurisdiction where DAUBIX AI or a service provider operates.

The website and services are intended for businesses and adults. They are not directed to children under thirteen, and DAUBIX AI does not knowingly collect personal information online from a child under thirteen through the website.
